Exporting and importing complete workspaces

Kronodoc supports importing and exporting entire workspaces. This can be useful to move or copy the data from one workspace to another within the same system or from one system to another. Unlike working only with part of a workspace as described in Exporting and importing parts of workspaces, the data includes all workspace configuration information, metadata, and files. The only data that the archive file does not include is workspace users' passwords. These are never included (not even in encrypted form) for security reasons.

Exporting a workspace creates an archive file in TAR format on your computer. The default file name is based on the workspace identifier in the Kronodoc installation, for example, workspace1100.tar. The archive file also includes a log of all actions performed by the export and an error log for troubleshooting.

Exporting a workspace requires a system administrator or a workspace administrator. Importing a workspace requires a system administrator.

To export a complete workspace:

  1. In the Workspaces view, on the Actions menu of the workspace that you want to export, click Settings. The workspace's property page appears.
  2. In the Workspace section header, click Export. Your browser's File Download dialog box appears.

Note    Your web browser will attempt to download the files to your computer. If your browser's security settings block the download, you might need to adjust the settings and retry this procedure.

  1. Click Open to open the file immediately without saving it first or click Save to save the file for later viewing. The workspace archive file downloads to your computer.

To import a complete workspace:

Before you begin

The import source files must consist of a document metadata file (document properties) and an archive file (file attachments). Create the import source files as described in the preceding procedure. The metadata file may be contained in the archive file.

  1. In the Workspaces view, on the Actions menu of the workspace that you want to export, click Settings. The workspace's property page appears.
  2. In the Workspace section header, click Import. A page showing the available import options appears.
  3. Click options or type values using the descriptions in the following table.

Option Description

Structure file

Type the path to the metadata file on your computer that you want to import or click Browse and select the file. If the metadata file is included in the archive file, leave this option empty.

Archive file

Type the path to the archive file on your computer that you want to import or click Browse and select the file. The archive file may contain the workspace metadata file, for example, as generated by the workspace Export command.

  1. Click Import project from files. The property page reappears and the navigation frame refreshes to show the workspace that was created.
